How to set up and use Auto Rating for Freight rates.

Freight rates can be derived in different ways. One method is to define a rate for each origin and destination port for the account. 

The alternative method is to define a set of standard company rates and nominate which of these rates this account will use.

Once that you have the company rates, rates groups and client freight rates set up, you need to select which one will be applied for your client. 

In the business account under the debtor, you can set up the relevant rates to be used.

1.  From the Account details under Debtor tab used you can click the appropriate rates that need to be applied for this client.  

  • Company Rate.Tick this checkbox to apply the standard company rates.
  • Rate Group. Enter the company rate group number to apply rate group tariffs. The rate groups must be setup separately in the Sales & Marketing module.
  • Rate Adjust %. Enter a percentage to either increase or decrease the rate for this client based on the company rates. To increase the rates, enter a positive value. To discount the rates, enter a negative value.
  • Master account.If you want to use the rates that have been setup for another account e.g., a head office account. Enter the code for the account that you want to get the rates from.




2. When configured, auto rating allows you to save time when creating the billing in jobs. The company rates and/or client rates must be configured first to be able to apply them to jobs.

From the  Freight Job details click on Billing tab.

3. On the job billing screen you have different options available to determine which rates should be applied to this job:

  • Quote Number. When the client has been provided with a quote for freight rates, you can enter the quote number here to have those rates applied.
  • Reference.If you have client rates references configured, and you want to apply the rates from a specific reference you can enter the rates reference number here. 
  • Rate Group.If you have set up company rate groups and you would like to apply the rates from one of those groups to this job, simply select the group name from the drop-down menu.


4. If you select one of those options, the rates will be applied when you click on the Auto Rating button, provided the details in the job match the details in the rates reference / quote.

Alternatively, leave those fields blank to have the system search for matching client rates when you click the button. If there are no client rates configured for the client, the system will check for company rates.

5. The Auto Rate screen is displayed. This screen will detail the charges found in the client rates. You can review the details and then print or copy them to the clipboard if you want to paste the details somewhere else such as an email.

If you click save, the charges will be applied to the job. 

6. The charges populated the charges lines on the job.

 Auto Rating details are saved in the job so you can refer back to them later if required.
