How to create client Customs Rates

Modified on Wed, 16 Oct at 3:13 PM

Use the Customs Rates function to set up the fees you want to charge a customer for completing Customs declaration forms.

Once set up, you and your team will be able to auto rate your Customs jobs in TradeWindow Freight using the auto rate option.

You do not need to create a rate for every client.  Where a rate does not exist for a particular client, the ‘standard’ company rate is used.

Customs rates are accessed via the Customs Rates button at the bottom of the Account screen. To create specific client Customs rates go through the following steps:

1. From the customer account general tab click on the Customs Rates button.

2. The Customs Rates Browse screen is displayed. From here click on Add button. 3. The Customs Rates screen is displayed.

You will need to add the account code into the Account field to link the rates to the account.

If you have set up standard company brokerage rates you can copy these rates to the account and make the adjustments for the customised client rates.

This can save a lot of time when there are only a few small changes to make.To do this click on the Copy From Standard button to copy the standard company rates.

4.  When you need to create a specific client customer rates , you need to complete the process for each of the nature code lines.

  • Enter the basic fee to be applied.
  • Number of Condense  invoice free lines.  When multiple lines for this type of rate exist on the invoice, and you want to condense them into a single line, enter the number of lines to be condensed. For example, you may choose to condense 10 lines to one by entering the number 10 here. Note: You do not have to condense the lines. If you choose not to it means that all the lines will appear.
  • Condense Invoice Add Line ($) You can then add an additional fee to be applied for adding additional condensed lines.
  • Number of Commercial Invoice free lines. When you are not condensing the lines, enter the number of lines that will be shown for free on the commercial invoice. For example, if the first 10 lines of this type should be free, enter the  number 10 in this field.
  • Com. Invoice add line ($) Use this field to enter the amount to be charged for additional invoice lines after the free allowance on the commercial invoice.

5. You need to click on the green button to save. You can edit the rates at anytime.

6. You will need to add charge codes for the fees to be linked to. These are for posting the values to the general ledger.

You will need to enter a charge code for both the basic fee column and the additional lines columns.

You can double click in these two fields to search the charge codes list if required.

7. On the Other tab, you will need to add a charge code for the fee and enter the base amount.

As this is a sea fee, we have fields available to enter the amount we will charge the customer, based on the container type.

Once you have completed the fields click on the Add button to add the fee to the display panel.

8. The fee now appears in the charges display panel.Click on the Save button to save the charges.
