Once set up, the client rates are easily applied to Freight jobs using the Auto Rating button in the job billing. If the ports, mode, account ID code, and carrier (if applicable in the client rate) match, then the rates will be automatically added to the job. This increases efficiency and accuracy in job billing.
Freight rates for clients (client rates) can be derived in four ways:
Create a rate specific to the account.
Use the company rate (which can include an adjustment percentage).
Use a company rate group (which can include an adjustment percentage).
Use the rate of another account.
Individual client rates can be configured via the acceptance of a quotation, the Client Rate function in the Sales & Marketing module and the Freight Rates button in the account profile.
To create a client freight rate follow below steps:
1. From Sales tab, click on the Client Rate.
2. Enter the details on the following fields:
- Account. This will be populated with the code you entered on the previous screen.
- Address.This will be populated with the address from the account. Use the Get Address button if it is not populated already.
- Notes.Enter notes about the client rates for this account as applicable.
- Enter a description for this rate.
- Enter the start date rate to be applied.
- Enter this rate expire from use date.
- Sales Rep.This field will populate with your username as the person entering the rate. Change this if you are not the Sales Rep for this account.
- Prepared By.This field will populate with your user-name as the person entering the rate. Change this if you are entering a rate on behalf of another staff member that has already prepared the rates.
3. Next, you need to add the freight routes. You do not have to add details to every field if the rate is to be applied more broadly.
- Load Text button.Use this button to load saved text from the Admin Module into the Cover Page or Terms & Conditions tabs.
- Copy Line button.Use this button if you have an existing line you wish to copy for a similar route. This will save time having to fill out all the fields again. Once copied you can edit the line to make the necessary changes.
- Select the Mode.Air, Sea (LCL), and Sea (FCL). Client Rates can cover Air, LCL, and FCL or just one or two of the modes. For each mode, a separate set of Freight, Origin and Destination charges apply.
4. Click on the red + button to add a freight route line to the display.
The aqua fields are mandatory. The rest are optional.
Under Freight Charges Tab you need to enter:
- Origin. Enter the 5-character Port code, or the 2-character country code to apply to all ports in the that country.
- Destination. Enter the 5-character Port code, or the 2-character country code to apply to all ports in the that country.
- Service. Enter the service code.
- Commodity. Enter the commodity code.
- Container Type (FCL only). Click on the drop-down menu to select the container type.
- Currency. If you add a currency code here, it will pre-populate the currency in the charge lines below.
5. Continue with the optional data if required.
- Airline Code (air only). Enter the airline code if applicable.
- Vendor (sea only). Enter the vendor’s account code if applicable.
- Agent. Enter the code for your overseas agent if applicable.
- Via.If the route is not direct, enter the via point for the route.
- Transit. Enter how many days the shipment will be in transit for.
- Frequency. Enter the frequency of this routing if known.
- Shipper. Enter the account code for the partner account that will be sending the goods.
- Consignee. Enter the account code for the partner account that will be receiving the goods.
- Place of Receipt. Enter the place of receipt for the shipment if required. This field does not generate anywhere in the job.
- Place of Delivery. Enter the place of delivery if required. This field does not generate anywhere in the job.
6. Next you need to add the charge lines for the freight route.
- Start by adding the charge code details on the left. Enter the charge code into the Charge Code field. Double click in this field to search for the charge code if required.
- The Currency code will auto populate because you added the currency into the freight route line.
- The unit of measurement e.g., kg, m3 etc will be auto populated in the Unit field. You can use the drop-down list to change the unit if required.
- The name of the charge code will auto populate into the Name field after the charge code has been added.
- You can add any informational notes into the Notes field if required. These notes will not display in jobs.
7. Now you select the method for how the charge will be applied and enter the value of the charge.
The method selected will determine which other fields appear on screen.
8. The relevant fields for data required for the method chosen (flat) will be displayed.
As a percentage fee is charged as a percentage of another charge or charges, we need to select what value the system should be using to calculate the charge.
- FRT Total of all charges under the Freight tab
- ORG Total of all charges under the Origin tab
- DST Total of all charges under the Destination tab
- CCF Foreign currency charges (like CAF).
- All Total of all charges
- CHA Value of a nominated charge code for this mode of transport.
9. Once you have completed the charges for the Freight tab, you will need to click on both the Origin and Destination tabs to add the applicable origin and destination charges.
