How to complete the commercial invoice for a Customs Job.

An unlimited number of commercial invoices can be entered into a job. 

You create the header for each invoice first, and then the commercial invoice lines are entered for each invoice. 

On the Commercial Invoice Header screen, you will need to complete at least:

  • Shipment details to define the Customs duty rates
  • Freight Values specific to the shipment

When creating the invoice lines take care to select the correct Part or Lookup as these are linked to the tariff for correct duty calculations. If you do not want to use a part number nor lookup code, you will need to enter the tariff details manually. 

Commercial invoice lines can also be loaded from a file using the EDI Invoices button. This will be useful for invoices with a large number of lines.


1. From Customs Job Screen click on Commercial invoice Header tab.


2.When you come to the commercial invoice header screen for the first time, you will automatically be presented with the header fields for the first commercial invoice to be loaded against this job. This is indicated by the number 1. 

Use the red + button at the top of the screen to add additional commercial invoices to the job. 

The aqua coloured fields are mandatory fields for the Customs entry. The Customs owner code (ABN or CCID) is automatically inserted into the job from the Importer record in the account profile. 


3.Take care to enter the details correctly as this information will affect the duty calculation and determine if AQIS will take an interest.
 The exchange rates for each currency come from the Customs reference files that are automatically downloaded every evening.


4.Next will enter the Valuation Elements details from the invoice. 

The Insurance field will only be mandatory for Customs when an Incoterm requiring insurance has been selected. 

The Customs exchange rates will be automatically applied when foreign currency invoices are created. 

Total fields will update automatically. 


5.Charges can be apportioned over the invoice lines.

Select the charge from the Type drop-down menu and enter the Amount, and Currency code, then click on the Apportion button.

 


6. Next will enter the commercial invoice lines. 

Click on Commercial Invoice from the menu bar at the top of the Customs Job screen.


7. Commercial invoice lines can be entered in multiple ways:

  • by Part Number and Lookup code 


For Part No. and Lookup enter them or double click in the field to search for and select the code. These are optional fields, so leave empty if you are not using them.
If the part number and the lookup exists, then the details will be displayed in the fields.

Description
The goods description will auto populate if you have entered an existing part number or lookup.
You can change the description if required by over-typing the text. You will need to manually add description if you are not using part numbers or lookup.



  • can be loaded from a file by clicking on the EDI Invoices button and selecting the file. This is a good idea for commercial invoices with many lines.You can also delete any lines that have been load from a file using the Delete EDI button, for example, if you have loaded the wrong file.

  • For quick data entry you can type directly into the grid at the bottom left of the screen.

8. enter the following details for the invoice line. 

  • Invoice Quantity And UQ.

 Enter the quantity and the unit of quantity as per the commercial invoice.
 The ratio between invoice quantity and the Customs quantity will be auto populated from the part record but this can be edited if required. It is used to auto calculate the Customs quantity from the invoice quantity.

  • Customs Quantity and UQ.These fields will auto populate based on the invoice quantity and ratio entered. 
  •  Customs 2 Quantity And UQ. Enter the second quantity and unit of quantity required by Customs for this tariff item.
  •  Warehouse. Enter the quantity and unit of quantity used for warehousing (N20/30).
  •  Price. Enter the invoice line price.
  •  Adjustment Amount. Use when there is a need to adjust the value for Customs.


  • Tariff classification 

The tariff item will auto populate from the part or lookup if used. Double click in this field to search for and select the tariff class if required.

  •  Statistical.The statistical code will auto populate from the tariff class entered.
  • Valuation basis.The valuation basis will auto populate with the code selected in the invoice header. Select the code from the drop-down menu if required.
  • Origin.The origin country will auto populate with the country code entered into the Origin field in the invoice header. Double click in this field to search for and select the country code if required. 
  • Relationship.The relationship between the supplier and the importer will auto populate from the selection made on the invoice header.

9. Once you have added all the required invoice lines, the invoice Balance at the top of the screen should be 0.
